Creating Professional-Looking Documents in MS Word

There are many great tutorials online for you to view when learning how to use MS Word. The approach this workshop takes is a little different. Using pre-made documents that can be modified to your own use is the quickest and easiest way to start using Word. We will look at a Flyer template that is included in Word 2004 for Mac. Some important skills needed to effectively use templates are as follows:

  1. How to copy and paste text from one source to another. 
    • If you copy text from a web page or another document and intend to paste it into a template, you will find that the style of the text will usually not match the style of your template. You need to "strip" the text of its previous formatting and make it take on the formatting of your template. In Word (and most other word processors) you can Paste Special and choose unformatted text.

  2. How to insert images and integrate them into a text-based document
    • Copying images from webpages is as simple as Right-Clicking on an image and choosing Copy Image. (Control-Click for Macs with one button mice). When pasting into Word, you may have to choose to Paste Special and choose Picture.

    • If you want to picture to interact with the text such that it moves it aside, double-click the picture to bring up the Format Picture panel and choose the desired wrapping style.

    •  Many templates in Word 2008 have picture place holders (pictures that hold a place in the document but are meant to be replaced). To replace the placeholders with new pictures, you first have to acquire the picture as a file. Download it to your desktop. Right-click on the picture and choose Save Image As. You will be prompted to save the picture to your computer.

    • Now Right-click on the place holder picture and choose Change Picture.
